What we collect and why
| When | What we collect | Why, and our lawful basis |
|---|---|---|
| You enquire or book (website forms, phone, WhatsApp, email, Facebook) | Name, phone, email, postcode, vehicle registration and details, and what you tell us | To reply, quote and book your job. Steps before a contract, or our legitimate interest in answering enquiries. |
| We work on your vehicle | Contact details, vehicle details, the work done, diagnostic data, invoices and payments | To carry out and stand behind the work. Contract, and legal obligation (tax and accounting records). |
| You buy a remapping tool | Name, business name, contact details, delivery address, payment records | To supply, register and support your tool. Contract. The manufacturer (Alientech or Autotuner) receives the details needed to register the tool to you. |
| You apply to become an agent, or use our dealer portal | Name, business details, contact details, location, tools you own, account login, the vehicle files and orders you send, payments | To assess your application, run your account and supply files. Contract, or steps before one. |
| We build your agent website (slave tool packages) | Your business name, contact details and the content you give us; enquiries your website receives | To build, host and run your website and pass its enquiries to you. Contract. |
| You check whether you can spread the cost | Name, first line of address and postcode (shared with Payment Assist); mobile or email (kept by us) | So Payment Assist can run an eligibility check you asked for, and so we can follow up. Your request and our legitimate interests. See “Finance” below. |

| You visit our website | IP address, device and browser information, pages viewed; analytics and advertising cookies only with your consent | To keep the site secure and working (legitimate interests), and to measure and improve our advertising (consent). See our cookie policy. |
We don’t sell your personal information, and we only send marketing messages if you’ve asked us to. You can tell us to stop at any time.
Finance
We are not a lender or a credit broker. If you ask to spread the cost, your name and address go to Payment Assist Ltd for an eligibility check, and Payment Assist handles any application under its own privacy notice. If you choose to pay with Klarna or PayPal, those companies handle your data under their own privacy notices.
Who we share it with
We only share what each service needs to do its job:
- Website hosting and security: Cloudways (DigitalOcean) for our website and dealer portal, Cloudflare for security and speed, and Railway for our enquiry and gains-checker service.
- Email and messaging: Google (Gmail), Resend (sending form emails to us) and WhatsApp if you message us there.
- Analytics and advertising (only with your consent): Google (Analytics and Ads) and Meta (Facebook and Instagram).
- Finance: Payment Assist, Klarna or PayPal when you choose them.
- Tool manufacturers: Alientech and Autotuner, to register tools.
- Vehicle data providers: when a registration lookup is used to identify a vehicle.
- Professional advisers and authorities: our accountant, and HMRC or others where the law requires it.
Transfers outside the UK
Some of these providers (for example Google, Meta, Cloudflare, Railway and Resend) may process data in the United States or elsewhere outside the UK. Where they do, the transfer is covered by UK adequacy regulations (including the UK–US data bridge) or by approved contract clauses.
How long we keep it
- Enquiries that don’t lead to a job: up to 2 years.
- Customer, job and invoice records: 6 years after the job, for tax and warranty purposes.
- Finance eligibility checks: up to 12 months.
- Dealer portal accounts: while your account is open, then 6 years for transaction records.
- Analytics data: up to 14 months in Google Analytics.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that’s wrong or incomplete;
- delete your information, where we no longer need it or the law allows;
- restrict or object to how we use it, including any marketing;
- send your information to you or another organisation in a usable format.
Where we rely on your consent (for example, analytics and advertising cookies), you can withdraw it at any time. Contact us using the details above. We’ll reply within one month and won’t charge you.
If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.
Keeping it safe
Our website and portal use encrypted connections, access to customer records is limited to the people who need it, and the services we use are chosen for their security. Form submissions are rate-limited and protected against spam.
